[ARCHIVED] Town Meeting Update: Message from the Moderator

Dear Town Meeting Members,

This is a reminder that the Annual Town Meeting begins Monday May 5th. It will be conducted over six nights in a hybrid format, with a Special Town Meeting scheduled for the final night. Meetings will commence at 7:00 PM in the Middle and High School Auditorium on the following dates:

  • May 5, 7, 12, 14, 19, and 21

Town Meeting Documents and Information

All relevant documents are available on the 2025 Annual Town Meeting webpage. Please consult this page regularly for updates as the meeting dates approach. Additional Information and Resources for Town Meeting Members.

Hybrid Format Participation Options

  • In Person (preferred): Attend at the Auditorium. Vote using the PointSolutions app. Speak at a microphone.
  • Full Remote: Attend via Zoom. Vote using PointSolutions. Request to speak by raising your Zoom hand.
  • Limited Remote: Watch via Belmont Media. Vote using PointSolutions. Speaking is not an available option.

Remote Participation Guidelines

Participants should ensure they are familiar with Zoom, as the Town is unable to provide technical support during the meetings for remote attendees. A link to a short video demonstrating voting with PointSolutions will be posted to the Town Meeting Member Information webpage. Those Members who not confident in their Zoom skills are encouraged to either attend in person or watch via Belmont Media and vote via PointSolutions. All Town Meeting Members should login to their PointSolutions account before the day of Town Meeting to ensure their access and password are up to date, by using the PointSolutions app or visiting www.ttpoll.com

Voting Procedures

All voting will be conducted through the PointSolutions app. New Town Meeting Members must download the app and create a password protected account. All Members must ensure secure access to their voting account/app prior to the meetings using their identified email address. An email indicating “you have been enrolled in a course” means your email is included for voting.  Online “Forgot Password” help prompt is available. Assistance will be available for in-person attendees encountering difficulties.  Town Meeting Members must ensure that their mobile voting device is fully charged or have a battery backup or charging cord; electrical outlets are located in the lobby spaces.

Remote participants experiencing voting issues should raise their Zoom hand, await recognition by the Moderator, and state their name and vote verbally. Please note that if multiple members require this method, it may be discontinued. The verbal vote will only be counted if an electronic vote has not been received.

Speaking Procedures

In-person attendees should approach a microphone to be recognized. Remote attendees should raise their hand in Zoom. The Moderator will recognize four in-person speakers for every one remote speaker, with discretion to adjust as necessary. There will be no microphone on the balcony level.

Special Accommodations

Wheelchair – accessible spaces are available in the center of the last row of the front section and in the front row at the bottom of the ramp in front of the Town Counsel table.

A limited number of Listening Assistive Devices are available to Town Meeting Members and others on a first come, first served basis. Ask at sign in table in the lobby.

The second-row center will be reserved for those Town Meeting Members who would benefit from sitting close to the screen and speakers.
